Tutoring

Effective January 1, 2025

At The Learning Hive, our goal is to provide consistent, high quality instruction that supports steady progress. These policies help us maintain reliable schedules for families and tutors while keeping programs running smoothly.

Scheduling and Commitment

Tutoring is booked in set terms. Families are committing to the full term at registration (be it 4, 7, 14 or 28 weeks), and this commitment holds the student’s space for the entire period. Because staffing is arranged in advance, tuition is non refundable once a term begins.

We do our best to keep schedules consistent; however, tutor assignments or groupings may be adjusted if needed to better support learning.

Payment

Tuition is billed monthly in advance. Payments are processed on the 15th of each month (or the closest date prior to tutoring commencement, depending on registration date) using the card on file.

If a payment fails, families will receive an email notice. A ten percent late fee applies after three days. Services may be paused if payment remains outstanding.

Cancellations and Missed Sessions

We understand that occasional absences happen.
• Cancellations made with at least 24 hours notice are considered excused.
• Make up lessons may be offered when scheduling allows; however, they are not guaranteed and are not owed unless a cancellation is made by The Learning Hive.
• Sessions cancelled with less than 24 hours notice, or sessions missed without notice cannot be rescheduled.

If a tutor needs to cancel, we will arrange a makeup session or provide an available alternative.

Consistency and Attendance

Regular attendance is important for progress, especially in structured literacy, evidence based math, and individualized learning support. Frequent absences may affect placement or scheduling options moving forward.

Communication

We encourage open communication with families regarding progress, scheduling changes, or any concerns that may impact learning. Tutors share notes after each session so parents remain informed.

Privacy and Photo Consent

We respect the privacy of all students. Photos or short video clips may be used for internal sharing or parent updates only for families who have given consent. Families may update their consent preferences at any time.

Specialty and Group Class

Specialty subjects and group classes at The Learning Hive are designed as structured, curriculum-based learning experiences. These programs rely on consistent attendance, small class sizes, and pre planned staffing. The following policies help us maintain a predictable and supportive environment for all learners.

Registration and Commitment

Registration reserves your child’s place for the full duration of the class. Because spaces are limited and curriculum is planned in advance, tuition for these programs is non refundable once the session begins and is not prorated for missed classes.

Payment

Payment is required at the time of registration to secure your child’s spot. Class spaces cannot be held without payment.

If a payment method fails, families will receive a notice. A ten percent late fee applies after three days. Services may be paused if payment remains outstanding.

Cancellations and Missed Classes

We understand that absences happen, however specialty classes operate on a course model where lessons build on one another. Missed classes cannot be rescheduled. If The Learning Hive must cancel a class (including for weather or building issues), we will either schedule a makeup class or apply a credit toward a future program.

This structure helps us maintain small groups, protect instructor time, and ensure continuity in learning.

Student Placement and Instructor Assignments

Class placements are determined based on age, readiness, learning needs, and group dynamics.

We are unable to guarantee specific instructors, classmates, or groupings, however all instructors follow The Learning Hive’s gentle, structured, relationship-centred approach.

Adjustments may be made if needed to better support learning and wellbeing.

Attendance and Class Expectations

Consistent attendance helps children feel confident, stay connected to the group, and fully participate in the class sequence. Extended absences may affect a child’s ability to follow the planned curriculum. We will always do our best to support your child’s learning if unexpected circumstances arise.

Health, Safety, and Class Cancellations

For the health of our community, please keep your child home when ill.

If a class must be cancelled due to weather, building issues, or unforeseen circumstances, families will be notified as early as possible. These cancellations may not always be rescheduled, however we will act in the best interest of student safety and program continuity.

Photo and Video Consent

We occasionally capture photos or short videos of class activities to share learning moments with families or for use on our website or social media. Student names are never shared. Families may update consent preferences at any time by emailing us.
