Tutoring & Terms of Agreement
Effective Date: January 1, 2024
At The Learning Hive, we believe in transparency, consistency, and clear communication. The following policies are in place to ensure that every child receives the support they need and that our educators are treated with fairness and respect.
1. Terms of Payment
Tutoring is billed monthly in advance using an equal billing model. This means your total tuition for the full term (7 or 14 weeks) is divided into even monthly payments.
Payments are due on the 1st of each month and processed using the card on file.
A completed credit or debit card authorization form is required at registration to ensure smooth, uninterrupted service.
Late payments are subject to a 10% late fee after 3 days. If an account is more than 7 days overdue, tutoring may be paused until it is resolved.
2. Commitment to the Term
When you register, you are committing to the full length of the term you select (7 or 14 weeks).
Your child’s spot is reserved for the entire term and cannot be transferred, held, or filled by another student mid-term.
Families are financially responsible for the full term, regardless of attendance or personal circumstances. This allows us to schedule staff consistently and provide a predictable learning routine for your child.
3. General Conditions
We match each student with a tutor based on learning needs, personality, and availability. While we cannot guarantee a specific tutor, we prioritize consistency and the best possible fit.
We value collaboration with families and welcome open communication. Please share any updates or needs that may affect your child’s learning experience.
4. Cancellation Policy & Makeup Lessons
Sessions cancelled with at least 24 hours’ notice will be marked as excused, but makeup lessons are not guaranteed.
Cancellations with less than 24 hours’ notice or no-shows are billed in full and are not eligible for rescheduling.
A reserved makeup week is built into the end of each term to accommodate any cancellations initiated by The Learning Hive (e.g., tutor illness or weather closures).
If this week is not needed for Hive-related cancellations, we may offer it for student absences — this is not guaranteed and depends on tutor availability.
5. Discontinuation of Services
Withdrawing mid-term does not release you from your financial commitment to the full term.
We understand that situations change and will do our best to support re-enrollment when possible, pending tutor availability.
6. Photo & Video Release
We occasionally take photos or videos during sessions to capture the joy and engagement of learning at The Learning Hive.
These may be used for social media, marketing, or staff training.
We will never include student names or identifying details. Families are asked to provide consent at registration. If you'd like to update your consent at any time, please email us.
